Reminders and following up on unpaid invoices

A ledger of outstanding invoices with due dates, used to track and chase what is owed

Most invoices get paid on time. For the ones that do not, the system can do the chasing for you, and give you a clear list of what is still owed.

See what is outstanding

The Invoices list shows the status of every invoice at a glance. Filter to unpaid, partially paid, or overdue to focus on what needs attention, and sort by due date to deal with the oldest first. The totals tell you how much is owed across your clients, so nothing quietly slips out of view.

Automatic reminders

Your firm can set up reminders that send on their own. These are timed around the due date: a gentle nudge before it, and follow-ups after it if the balance is still owing. Each reminder is an email to the client with a link back to the invoice so they can pay without hunting for it.

  • Reminders only go out while the invoice still has a balance. As soon as it is paid, they stop.
  • You can control how many days before or after the due date each reminder is sent.
  • The wording comes from a template your firm can edit, so the tone stays consistent and professional.

Automatic reminders are a firm-wide setting. If you are not sure whether they are switched on, check with whoever manages your billing settings.

Send a reminder yourself

You do not have to wait for the schedule. Open any unpaid invoice and send a reminder on the spot, or simply resend the invoice email. This is useful when a client has asked you to send it again, or when you want a personal follow-up rather than the automated one.

Keep a record of your follow-ups

When you phone a client or agree new terms, log it against the invoice or the matter so the whole team can see what has been said. That way the next person who looks at the file knows a payment plan is in place, or that a cheque is in the mail, and does not send a chaser that undercuts the conversation you just had.

  1. Find the invoice. Filter the list to overdue and open the one you are chasing.
  2. Send or resend. Email a reminder, or resend the invoice with its payment link.
  3. Note the outcome. Record what the client said and any new date to expect payment.
💡

Let the automatic reminders handle routine chasing and save your personal follow-up for the accounts that genuinely need a conversation. It is kinder to the client and a better use of your time.
