Online booking and team schedules

A tidy desk with a calendar and clock ready for scheduling appointments

Let clients pick a meeting time from your actual availability, then keep the team organized with a shared schedule. Fewer back-and-forth messages, fewer double bookings.

How online booking works

Your firm gets a public booking page, plus a personal booking link for each staff member, so you can drop it in an email signature or on your website. A visitor picks a service, a staff member, and an open time slot; the slots come straight from your availability, so nothing shows that isn't actually free. Where you've enabled it, they also choose how to meet (in person, by phone, over Google Meet, or on Zoom) and answer any extra questions you've set up.

New bookings either wait for your approval or are approved automatically, your choice. Once approved, the appointment can create a Google Calendar event with a Meet link, a Zoom meeting, or an Outlook event, and anyone can download an .ics file for other calendars. If plans change, the invitee can request a new time or a cancellation and give a reason; you approve or reject, and they're notified either way.

SettingWhat it controls
ServicesName, duration in 15 minute steps, price, color, and which staff offer it.
Buffer timesBreathing room before and after each appointment.
Company scheduleThe hours your firm takes bookings.
Working hoursPer staff overrides when someone's week looks different.
Blocked daysHolidays and closures that hide slots entirely.

Appointments land in the admin list and calendar, show on the client or lead profile, and appear in the client portal. You can also have new public bookings create a lead automatically, which is handy when someone new books a consultation.

What Schedules adds

Schedules is the team's own calendar. Create an event, assign the staff who need to be there (they can accept or decline), set reminders, and make it repeat if it happens every week. You can link an event to a task, existing or new, and start a timer automatically when the event begins, so the time is recorded on the task without anyone starting a timer by hand. Shifts also appear on the main calendar. Day and week views with staff, project, and task filters keep it readable.

📌

Schedules uses the same company working hours you set for bookings, but schedule events don't block your public booking slots. If a client could book you during a scheduled meeting, glance at the calendar before approving.
