Importing data from a document

Printed court forms and paperwork laid out on a desk ready to scan

Got a filed court form, an old intake sheet, or another firm's paperwork as a PDF? Import Data reads it and populates matter fields from what it finds, so you review and correct rather than retype everything.

How it works

  1. Click Import Data. You will find it on the matter form, in the matter details viewer, and on the matter view page.
  2. Pick the PDF. Upload a PDF file up to 25 MB, or use Add from Dropbox, Add from Google Drive, or Add from OneDrive when Connected Storage is set up. Cloud picks are PDF only too.
  3. Let it read. Extraction runs entirely on your server, with no AI involved. Form fields are read first, then the PDF's text layer, and OCR kicks in only as a fallback for scanned files, covering the first 5 pages for up to 45 seconds.
  4. Review before anything changes. Everything found lands in a review table: a Use checkbox, the Field, the New value (which you can edit in place), the Current value on the matter, and a Matter field dropdown for mapping. Untick anything you do not want.
  5. Click Import selected. Only the checked rows are applied. Nothing touches the matter until you do this.

Where the data goes

Checked rows land in the matter's canonical data, the same pool used later to fill official forms. The Check coverage gap check shows what is still missing for a form, so you can see at a glance how much the import just saved you. Rows you mapped to a matter field update that field as well.

The source document is kept

The PDF itself is saved into the matter's files, tagged Imported source document, so every extracted value traces back to the document it came from. Duplicate detection means importing the same document twice will not pile up copies.

💡

Scanned PDF and nothing came out? OCR needs its tools installed on the server. If they are missing, you will see a message that scanned PDFs cannot be read yet; PDFs with form fields or a text layer still import fine.

💡

The New value column is editable for a reason. Fixing a mangled name or date right in the review table is faster than importing it wrong and correcting the matter afterwards.
